When you've finished quoting the line items in your list, you can export your quote using Custom Export or PDF Export.
- Custom Export: Configure the columns, column ordering, export format and download your quote to your computer in either tsv, csv, or xlsx file formats. Save your configured preferences to either your user account or to the customer account you're quoting to save time in the future.
- PDF Export: Download a PDF version of your quote to your computer. The columns follow a template that is not configurable. However other details such as Expiration Dates, Custom Notes, Company Logo, Address, Phone, and Footer Text are adjustable.
Custom Export
Open the Custom Export side panel by clicking the button in the Quote Actions bar.
The Custom Export side panel will allow you to configure the details of your quote export.
Select What To Export
This section allows you to choose which parts you'd like to export from your list.
- Only Selected Parts: If you've selected line items in your quote, this option allows you to download just your selected lines.
- Only Filtered Parts: If filters are applied to your quote, this feature will export only the lines that you are currently filtering on.
- All Parts: This option will export all line items in your quote.
Select Columns For Export
Use this section to choose which data fields you would like to download into your quote. Your selected options will appear as a new column in your downloaded file which will be populated in line items for which this data exists.
You also have 3 different quick options to consider when choosing your columns:
- Default: The default Custom Export column configuration include Ref #, Requested Manufacturer Part Number, Requested Manufacturer, Requested Quantity, Quoted Manufacturer Part Number, Quoted Manufacturer, Quoted Quantity, Quote Price, Extended Price.
- User: This is the export configuration you've saved to your user account. Select columns of your choice, update column ordering, choose your remaining custom export options, select Save these column selections and User at the bottom of the Custom Export side panel, and select Export to update this saved preference. The next time you select this option in a quote, these saved preferences will automatically load and you will not have to adjust them again.
- Customer: This is the export configuration you've saved to the customer account you are currently quoting for. The steps to configure this setting are the same as the setting above, however instead of selecting Save these column selections and User at the bottom of the Custom Export side panel, select Customer instead and select Export.
Metadata Columns
If your company is using the catalog_metadata table, metadata fields will be available to select for export in this section of the Custom Export side panel.
Specify Order Of Exported Columns
When you select columns for export, the columns will appear in this section. This feature is used to order the columns in your downloaded file.
Use the drag-and-drop feature to the left of your column names to click and drag your columns into the order in which it will appear in your quote.
Click the trashcan button to remove columns from your export.
Other Export Options
Select whether you want to include Subitems and Alternates in your downloaded quote.
Select Export Format
Choose the file type for your quote export. Xlsx, csv, and tsv are support and xlsx will be selected by default.
Export
When you select Export, the quote will be downloaded to your computer.
PDF Export
Updating PDF Settings In System Settings
Note that Admins have the ability to configure PDF Settings for exporting in System Settings page.
Admin users are able to change the company logo, add their company or office address, and add a footer note. When these changes are saved, they will apply to all PDF Exports from quotes in your instance of CPQ.
PDF Export In List View
Access PDF Export by clicking into the Quote button in the Quote Actions bar, then selecting the PDF Export option in the dropdown. In the PDF Export Preferences modal, you will have the ability to set the "Expiration Date" and add a Custom Note.
If either of these features are populated, click Update Preferences to show the updates you made in the Quick Preview section. Click the Export PDF button to download your quote to your computer.
