Approval Workflow is an optional feature that sets status and transitions through line items. Only system administrators can access Approvals Workflow.

Only one workflow can be created within your organization, and when your workflow is applied, it will affect all quotes created within your company's CPQ.

Interaction With Auto-Assignment Rules

Even when an Approvals Workflow is configured and applied to a quote, any existing Auto-Assignment rules will still apply to your quote’s line items.

When a quote is created and line items are processed, existing Auto-Assignment rules will still dictate the initial assignment of specific users to line items based on the existing assignment criteria.

Creating A New Workflow 

To create a workflow, you must start by clicking the Add New Transition button. Once selected, the first transition will appear where users can “Select Beginning Status,” “Select Ending Status,” and add an approver if necessary.

Click the Select Beginning Status drop-down to display all active line item statuses. You can make your selection and move on to the ending status. The “Select Ending Status” drop-down will present all active line item statuses; however, the status cannot be the same as the beginning status.

Adding An Approver 

If the Add Approver button is selected, two branch-off pathways ("If Approved" or "If Rejected") will appear under the transition, and another section will appear below, where the admin can configure approver details.

Selecting an "Ending Status" for both Approved/Rejected pathways and an Approver is required. Additionally, if an approver has been added to a transition in the Approvals Workflow, the same beginning status used for this transition cannot be used for any other transitions in the workflow.

The Approver Assignment Conditions will allow admins to configure specific scenarios in which the selected approver will be assigned to line items.
